- Location method used (GPS, network-based, Wi-Fi)
Device Information
- Device identifiers (device ID, device model, manufacturer)
- Operating system version and build information
- Network information (Wi-Fi SSID and signal strength when connected, mobile network state)
- Battery level (used to optimise reporting frequency)
- App usage data (transmission frequency, connection status)
Authentication Data
- Invitation code issued by your organisation, used once to activate the App
- Session token issued by the HexGuard server after successful activation, stored securely on your device
Account Information
- Username assigned by your organisation
- Control room or dispatch service URL that your organisation has configured
Data We Do NOT Collect
- Personal identifying information (name, email, phone number) beyond your organisation-assigned username
- Photos, videos, or other media files
- Contacts or calendar information
- Financial or payment information
- Browser history or other application activity
2. How We Use Your Information
Primary Purpose — Officer Safety
- Transmit your real-time location to your designated control room via the Hexlitix platform
- Ensure reliable communication between your device and your dispatch service
- Provide accurate location data so that dispatch can respond if you become unresponsive or activate an emergency alert
App Functionality
- Monitor GPS signal quality and connection status
- Optimise transmission intervals based on movement state and battery level
- Troubleshoot connectivity issues
We Do NOT Use Your Information For
- Marketing or advertising purposes
- Creating user profiles or behavioural analytics
- Selling or monetising location data
- Any purpose other than officer safety location reporting
3. Data Sharing and Transmission
Your Control Room or Dispatch Service
- Location data is transmitted to your organisation's control room via the Hexlitix platform
- Data is sent using encrypted HTTPS connections
- HexGuard servers operated by Quantum Wave Solutions act as a relay between the App and your control room
Server-Side Storage and Retention
- HexGuard servers, operated by Quantum Wave Solutions, store the location reports your App sends while you are on shift
- We retain this location data for officer safety, incident review, and audit and compliance purposes — for example, to reconstruct an officer's last-known position after an emergency, or to satisfy your organisation's audit obligations
- Retention periods are governed by your organisation's safety and audit policies and by applicable laws and regulatory requirements
- Diagnostic logs (connection events, authentication events, transmission errors) are retained for operational, security, and compliance purposes
No Third-Party Sharing for Marketing
- We do not share your information with advertisers, marketers, or data brokers
- We do not use third-party analytics services that collect personal data
- We do not integrate with social media platforms
- Location data is shared only with your organisation's control room or dispatch service via the Hexlitix platform, as configured at the time of activation
Legal Requirements
- We may disclose retained information if required by law enforcement with proper legal authority, or where required by your organisation's data-handling agreement with us
- Where we are legally required to preserve, disclose, or produce retained data, we will respond in accordance with applicable law
4. Data Storage and Retention
What We Store
- App configuration settings (control room URL, transmission intervals)
- Device authentication tokens (stored locally on your device in iOS Keychain or Android EncryptedSharedPreferences; the corresponding session credential is stored server-side)
- Location reports sent by the App during active shifts, retained on HexGuard servers for officer safety, incident review, and audit purposes
- Account information (organisation-assigned username, control room URL, device association)
- Operational diagnostic logs (connection events, authentication events, transmission errors)
What We Do NOT Store
- Personal communications or messages
- Detailed user behavioural analytics beyond what is needed for safety and audit
- Photos, video, or audio
- Contacts, calendar entries, browsing history, or other unrelated device data
Retention Period
- Retention of location and operational data is governed by the safety and audit requirements of the organisation operating your control room, and by applicable Australian and other privacy laws
- Where your organisation has agreed a specific retention or deletion schedule with Quantum Wave Solutions, that schedule applies
- You may contact us to request information about retention applicable to your organisation
Data Location
- Server infrastructure for HexGuard is hosted in Amazon Web Services, Asia Pacific (Sydney) region
- Local device data remains on your device under the protection of your device's operating system
5. Data Security
Transmission Security
- All data is transmitted using TLS encryption (TLS 1.2 or higher)
- Authentication credentials are encrypted using industry-standard methods
- Direct device-to-server-to-control-room communication, with no intermediary third-party storage
Device Security
- Location access requires explicit user permission
- The App can be disabled or uninstalled at any time
- No background location reporting occurs without active user consent and an active shift session
Server Security
- Servers are hosted in a hardened cloud environment with restricted network access
- Authentication credentials are stored using secure server-side hashing
- Access to server infrastructure is restricted to authorised Quantum Wave Solutions personnel
Limitations
- No internet transmission is 100% secure
- Users should ensure their control room provider has adequate security measures
- Device security depends on your device's security settings
6. Your Rights and Controls
Location Control
- Grant or revoke location permissions at any time through device settings
- Start or stop transmission using the App's tracking toggle
- Modify transmission frequency through App settings
- Change or remove your control room URL through App settings (if your organisation permits)
Data Control
- Request deletion of any stored configuration or operational data by contacting us
- Export your settings for backup purposes
- Contact us with questions about your data
Withdrawal of Consent
- Disable location services for the App in device settings
- Uninstall the App to completely stop all data collection
- Contact us to delete any stored account information
7. Children's Privacy
This App is not intended for users under 18 years of age. We do not knowingly collect personal information from children. If you believe a child has provided information to us, please contact us immediately.
8. International Data Transfers
If you are located outside of Australia, your information may be transferred to and processed in Australia. We ensure appropriate safeguards are in place for international transfers in compliance with applicable privacy laws.
