How Quantum Wave Solutions collects, uses and protects personal information through this website and during customer engagements.

Quantum Wave Solutions Pty Ltd ("QWS," "we," "us," or "our") is committed to protecting your privacy. This policy explains how we handle personal information collected through quantumwave.com.au (the "Website") and during the delivery of our products and services.

This policy is written to comply with the Australian Privacy Principles set out in the Privacy Act 1988 (Cth).

1. Who We Are

Quantum Wave Solutions Pty Ltd is an Australian-owned software and technical solutions company headquartered in Canberra, Australian Capital Territory. We design and operate custom operational platforms for Australian commercial and government clients.

2. Information We Collect

Information you provide via the Website

When you submit our contact form or otherwise contact us, we collect:

  • Your name
  • Your email address
  • Your company or organisation (optional)
  • The contents of your message

Email correspondence

If you email us directly, we collect the contents of that correspondence and any information you choose to share with us.

Information collected during customer engagements

When we work with a customer to design, build, host or maintain a platform, we may collect and process information necessary to deliver that service. This may include business contact details, technical configuration data, system logs, and operational data generated by the platform. The specific data and its handling are governed by the written agreement (Statement of Work, Master Services Agreement, or equivalent) between QWS and the customer.

Technical information collected automatically

When you visit the Website, our hosting infrastructure may automatically log:

  • IP address
  • Browser type and version
  • Pages visited and timestamp
  • Referring URL

This information is used for security, abuse-prevention and aggregate diagnostics — not for identifying individuals.

Information we do NOT collect

  • Behavioural advertising or tracking data
  • Third-party social-media identifiers
  • Financial or payment information through this Website
  • Sensitive information (as defined in the Privacy Act 1988) unless explicitly required for a specific engagement and provided with your consent

3. How We Use Your Information

We use the information we collect to:

  • Respond to your enquiry and provide the information you requested
  • Prepare proposals, quotes or scope-of-work documents
  • Communicate with you about active or prospective engagements
  • Deliver, host and maintain platforms we have agreed to build for our customers
  • Maintain the security and integrity of the Website and our services
  • Comply with our legal and regulatory obligations

We do not use your personal information for marketing or advertising purposes, sell or rent it to third parties, or share it with data brokers.

4. Data Storage and Location

All personal information collected through the Website is stored within Australian data centres. Our infrastructure providers and their data residency are described below.

We do not transfer customer data offshore without explicit, written authorisation from the customer.

5. Sub-processors

QWS uses a deliberately small set of sub-processors to deliver our services. The current list is:

  • Micron21 Pty Ltd — Australian-based production hosting (Tier IV, IRAP-assessed).
  • Amazon Web Services — encrypted backup storage, restricted to Australian regions.
  • Microsoft 365 — corporate email, document management, and contact-form delivery.

Additional sub-processors required for specific engagements are disclosed and agreed with the customer prior to use.

6. Data Retention

  • Contact form submissions and email correspondence are retained for as long as is reasonably necessary to maintain a record of our communication, typically up to seven years.
  • Customer engagement data is retained according to the terms of the relevant customer agreement and applicable record-keeping obligations.
  • Web server logs are retained for a short, rolling period for security and diagnostic purposes.
  • You may request deletion at any time by contacting us, subject to our legal record-keeping obligations.

7. Data Security

  • Data in transit is protected by TLS 1.2 or higher.
  • Data at rest is encrypted using AES-256-GCM where the underlying platform supports it.
  • Access to personal information is restricted to QWS personnel who require it to do their job, and is subject to multi-factor authentication.
  • We maintain an incident response process and will notify affected individuals and the Office of the Australian Information Commissioner in line with the Notifiable Data Breaches scheme where applicable.

8. Your Rights

Under Australian privacy law, you have the right to:

  • Access the personal information we hold about you.
  • Correct personal information that is inaccurate, incomplete or out of date.
  • Request deletion of personal information we no longer need to hold, subject to our legal obligations.
  • Withdraw consent for any optional processing.
  • Make a complaint if you believe we have mishandled your information.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner at www.oaic.gov.au.

9. Cookies and Tracking

The Website does not set advertising or behavioural tracking cookies and does not use third-party analytics platforms that profile individual visitors. Strictly necessary cookies may be used to maintain session state (for example, to protect the contact form against abuse).

10. Children's Privacy

The Website and our services are not directed at children under the age of 18, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

11. Changes to This Policy

We may update this policy from time to time to reflect changes in our practices, our services, or applicable law. The current version is always available at quantumwave.com.au/privacy-policy. Material changes will be highlighted with a revised effective date.
